Job Overview:

The Virtual Assistant will manage day-to-day operational tasks, assist with content creation workflows, and support real estate–related activities. The ideal candidate is detail-oriented, tech-savvy, and capable of working independently while managing multiple priorities.

This role is perfect for someone who enjoys a variety of tasks—from creating presentations to editing content to coordinating events.

Key Responsibilities:      

  • Assist with preparing recruitment presentations, or client events presentations
  • Manage calendars and coordinate appointments.
  • Create and maintain property information sheets, digital brochures, and listing descriptions.
  • Perform basic market research and neighborhood data gathering.
  • Watch and analyze raw video content to select highlights, track key moments, and provide improvement suggestions.
  • Edit short-form and long-form videos for social media, YouTube, and other platforms.
  • Edit photos for branding, listings, and social media content.
  • Design YouTube thumbnails, social media graphics, and branded visuals.
  • Organize and manage the content library and digital assets.
  • Assist in planning content ideas, scripts, and filming outlines.
  • Communicate with brands, sponsorship partners, and potential collaborators.
  • Draft and send outreach emails, manage negotiations, and coordinate deliverables.
  • Prepare media kits, proposals, and partnership presentations.
  • Track campaign deadlines and ensure brand requirements are met.
  • Plan, coordinate, and schedule events such as open houses, client appreciation events, and content shoots.
  • Create event materials, invitations, and itineraries.
  • Manage RSVPs, vendor communication, and logistics.
  • Draft and send emails on behalf of the broker.
  • Maintain organized digital files, spreadsheets, and project trackers.
  • Support with day-to-day operational tasks as needed.
  • Provide ongoing updates, task summaries, and weekly progress reports.

Requirements:

  • Previous experience as a Virtual Assistant or in a similar support role (real estate experience a plus).
  • Basic understanding of real estate processes (MLS, CRM, showings, listings, client communication).
  • Strong skills in video editing (e.g. CapCut).
  • Experience with graphic design tools (e.g., Canva, Photoshop).
  • Excellent written and verbal communication skills.
  • Strong organizational and time management abilities.
  • Ability to multitask and meet deadlines without supervision.
  • Creative mindset with attention to brand consistency.
  • Comfortable working with Google Workspace, Microsoft Office, and project management tools.
