Appointment Setter/Admin Assistant (Part Time)

Job Overview:

We are seeking a detail-oriented and proactive Appointment Setter & Administrative Assistant to support a team of nine mental health providers. The ideal candidate will assist with client coordination, appointment scheduling, insurance verification, and follow-ups, ensuring a smooth and efficient process for both clients and providers. Experience with client communication platforms and social media management will be highly valued.

Tasks required:

  • Client Coordination: Manage client inquiries from multiple platforms, including Simple Practice, Headway, and Psychology Today, as well as incoming emails from the Client’s email account.
  • Appointment Setting: Compile client inquiries into an Excel database, reach out to clients via email, Skype, or Google Voice to collect necessary information and documents, and assign them to the most suitable provider for initial consultations.
  • Insurance Verification: Verify client insurance eligibility by checking insurance cards and driver’s licenses, and confirm details with the biller or through relevant platforms.
  • Manual Appointment Scheduling: Assist with booking initial consultations manually due to current system limitations. Manage calendars across multiple platforms, troubleshooting scheduling issues such as overlapping or double-booked appointments.
  • Follow-Up: Monitor and follow up with providers regarding the progress of initial consultations, including assessing client-provider fit and tracking client attendance.

Requirements:

  • Experience with appointment setting and client management, preferably in healthcare or mental health settings.
  • Familiarity with Simple Practice, Headway, and Psychology Today platforms is a plus.
  • Strong organizational skills with experience in database management (Excel).
  • Excellent communication skills, with the ability to contact clients via email, Skype, or messaging apps like Google Voice.
  • Knowledge of insurance verification procedures.
  • Ability to manage multiple calendars and resolve scheduling conflicts.
